The way it works today

Sunday night goes to the rota.

You run a business with hourly staff. The schedule is the one job that never gets easier.

Sunday, 9:40 pm

Rebuilding next week in a spreadsheet

Six people can't do Saturday. Two must never share a shift. One is already at 38 hours. You start over for the third time.

Monday, 7:15 am

The group chat is the schedule

Four versions, one screenshot, nobody sure.

Saturday, 5:50 pm

Somebody called in sick

You phone four people before one answers. The shift starts in 70 minutes.

Example: two hours a week on the schedule is over 100 hours a year, before the first call-out.

How it works

How the shift scheduling app works: from a photo to a published rota in under three minutes.

  1. 01
    about 1 min

    Snap your current roster

A photo of the paper sheet or a screenshot of the spreadsheet. Names and shifts come in; you fix a cell or two.

  2. 02
    about 1 min

    Say what you need

How many people per shift, and your rules in plain words: Luca and Marco never together.

  3. 03
    1 tap

    Publish to every phone

Look at the week, drag anything you would change, press publish. Everyone gets it, with reminders.

Weekly submissions

Your team tells you when they can work. You set the minimums.

Every week your people tap the slots they can cover, in the app. You decide how many each person must offer, and the builder only uses what they gave you.

  • 1

    Minimums that fit

At least 2 dinners, 2 lunches and 1 weekend shift offered. Different limits for a student or a part-timer.

  • 2

Nobody can submit half a week

The Submit button stays off until the minimums are met, and says what is missing.

  • 3

Chase the missing ones in one tap

A live board shows who submitted, who is late and who is missing. Nudge them all at once.

What is inside

Just shifts. No HR software to learn.

A full week in one tap

Every slot filled around availability, rest and weekly limits. Each assignment says why it was made, and what is missing is flagged with a suggestion.

€0

Employees are always free

Your team never pays and never meets a paywall.

Swaps and open shifts

Colleagues offer a shift, eligible people claim it, you approve in one tap.

Rules in plain language

Type it the way you would say it. You confirm a clear rule card before it counts.

Holidays and labour-law defaults

National and regional holidays flagged. Rest between shifts (11 hours by default here) and weekly maximums start from your country's values. Check your collective agreement.

Availability and time off

People set when they can't work. The builder never forgets.

Automatic reminders

12 hours and 1 hour before, with quiet hours respected.

Phone and computer

Build on a big screen, fix on the go.

Hours and time off

Clock in, time off and availability, when you need them.

Hours that track themselves

  • One tap to clock in and out, with an optional check that they are at work
  • You hear about late arrivals and no-shows while the day can still be saved
  • A monthly file with night, Sunday and holiday hours already split

Time off with the whole picture

  • Vacation, sick leave and permits, with balances and half days
  • See who can cover before you approve
  • Approved leave empties the shift and asks the team to take it

Everyone's availability in one grid

  • Available, part of the day, unavailable or preferred
  • A weekly pattern plus one-off days
  • The schedule builder follows it, automatically

Questions

Frequently asked questions about shifts and the app

What if someone on the team won't download the app?

They get the schedule as a WhatsApp link and see it in the browser, no account. The app is for swaps and reminders, not for seeing the schedule.

Does it work on Android?

Yes: iPhone, Android and computer, with the same account.

Is it hard to set up?

The first week takes a few minutes starting from a photo of your rota. Every screen has an assistant that answers in your language, and the help centre has a guide for each step.

Who is behind this, and is my data safe?

Shiftboard is made by Tomer Hirschmann, who answers in person. Data stays in EU regions, a data processing agreement (DPA) is available on request and you can delete everything any time.

Where is my data stored?

In the EU: the database and the scheduling engine both run in European regions. We provide a data processing agreement and you can export or delete everything any time.

How do the trial and payment work?

Plans are bought in the App Store or Google Play and Apple or Google does the billing. The trial is 14 days free and you can cancel any time in the store settings (one trial per Apple ID or Google account). The business owner pays; employees never do. If the trial ends without a plan the account goes back to Free: you keep all your data and employees still see the published schedule.

Can I cancel any time?

Yes. Plans are monthly or yearly through the App Store or Google Play and cancel in one tap from the store settings. If you cancel during the 14-day trial you pay nothing.

Do employees pay or need an account?

They never pay. They join from a link sent by email or WhatsApp and sign in with Apple, Google or email.

Can I export my data?

Yes. Shifts and hours export to CSV or Excel for payroll, and you can download the whole account.

Does it know our labour rules?

It starts from sensible defaults for your country, such as 11 hours of rest between shifts, and you can change them. They are defaults, not legal advice: check your collective agreement.

Which languages are available?

Italian, Spanish, English, German, French, Portuguese and Dutch. Each employee uses the app in their own language.
